How To Set Up ‘Sent Items’ For IMAP Accounts In Outlook 2013

Microsoft Outlook 2013 has several new implementations including how it handles IMAP mailbox configurations. This often results in not syncing the sent items on the webmail server. Also, whenever the Outlook 2013 fails to find correct folder names to sync with, it adds a folder name (like Sent Items folder) with “(This computer only)” written on its name & it does not show ‘Sent Items’ or ‘Deleted Items’ like it used to show in Outlook 2010.

Here is how we can configure the ‘Sent Items’ folder in Outlook 2013, which syncs with the mail server for your custom domain email.

Assigning correct folders on mail server

Outlook 2013 requests the mail server for the correct folder names, so if we set them right on the mail server, this issue will be resolved automatically.

For this, go to your email hosting interface for the IMAP mailbox & locate options for where to save Sent Items, Drafts & Sent Items. If you can’t find them, ask your ISP to provide access to these. Once there, renaming the folders how they appear in Outlook 2013 will help get things straight aligned without much of an issue, however this is not entirely required.

How To Set Up ‘Sent Items’ For IMAP Accounts In Outlook 2013

Set root mailbox folder

This will work most of the times. Outlook doesn’t detect correct folder names when IMAP is configured to use the “Root” structure, where all other email folders are the subfolders of the Inbox folder. That’s where Outlook is confused & creates its own local folders instead of using ‘Sent’ & ‘Trash’ folders of the mailbox.

So, when we set the root mail folder under the account settings, Outlook will now be able to detect correct folders needed for the sync. Here is how to set the root folder

  1. Go to File > Account Settings > Account Settings
  2. Double-click on the IMAP account you’ve configured
  3. Click ‘More options’ button
  4. Go to ‘Advanced’ tab
  5. Choose root folder path option
  6. Set this to ‘Inbox’ to do the magic. See image below

How To Set Up ‘Sent Items’ For IMAP Accounts In Outlook 2013

  1. Click ‘Ok’ to exit all open windows
  2. Restart outlook for new settings to take effect

No luck still? Try this

After restarting the Outlook, if for whatever reason it couldn’t apply the needed changes, you got to locate ost-file for the IMAP account you have it configured. Read details below.

Rename that located file to ‘.old’ file & then restart the Outlook again.

This time, your Outlook 2013 cannot find that file & will prompt you to newly create this file & cache everything again. During the process, it will take the new settings & should sync your ‘Sent Items’, ‘Drafts’ & ‘Deleted Items’ folders with the mail server.

You can find the ost-file location here:

  • Go to File > Account Settings > Account Settings
  • Go to ‘Data Files’ tab
  • Select data file associated with the IMAP account
  • And, press the button ‘Open File Location’

Important Notes

Now, that your Outlook 2013 is able to sync IMPA folders with the mail server, it cannot sync the folder named with “This computer only”. So, if you already have plenty of emails sent or trashed from the Outlook for your domain, be sure to backup these folder (s) before you proceed with this corrective measure.
